Help for event staff

Helping at a tournament

If a tournament host added you as staff or a volunteer, the event appears under Assigned Events with the jobs you can do there. Staff check wrestlers in, run weigh-ins, score matches, and keep brackets and mats moving. Volunteers check in, weigh in, and hand out awards. Your access lasts until the host marks the event finished.

Step 1

How you get access

  1. Create a Smart Wrestler account, or sign in to the one you have.
  2. Tell the host the name and email on your account.
  3. The host looks you up and adds you to their event as staff or as a volunteer.
  4. Open Assigned Events to see it.
Each event shows your role and the screens you can open. Sample event only.

Also a parent? Use your existing login and add Parent access to manage your own children. Event staff access does not let you approve another family’s signup. How to approve a child’s signup.

Step 2

What you can do

What you see depends on the job the host gave you for that event:

Your jobWhat you can do
Event adminEverything the host can do for that one event: settings, roster, brackets, mats, scoring, and adding other helpers.
StaffCheck wrestlers in, run weigh-ins, score matches, and work with brackets and mats.
VolunteerCheck wrestlers in, run weigh-ins, and hand out awards.

Step 3

Check-in and weigh-in

Open Weigh-In / Check-In from the event. You will see every wrestler with their division, weight, and whether they are weighed in and checked in.

On-site events start with everyone not yet weighed in. Sample names only.
  • Find the wrestler, record the weight, then check them in.
  • If a wrestler is not on the list, they are not registered. Send them to the host.
  • Wrestlers whose entry fee is unpaid cannot be checked in until it is.

The full walk-through is in the Host Guide.

Step 4

Scoring and mats

Staff score matches live from the Matches screen, so families can follow along in real time. Staff also keep brackets and mats moving: assigning matches to mats and watching the queue.

New to scoring? Start with how to score a wrestling match, then the event day section of the Host Guide.

Step 5

Awards

Volunteers and event admins can open Awards from the event to see placements, so awards go to the right wrestlers.

Step 6

When your access ends

Your access to an event ends when the host marks it completed or cancelled. Results stay on the public event page for everyone. Thank you for helping. Tournaments run on volunteers.

Questions

Common questions

I was told I am on staff, but I cannot see the event.
The host finds you by the name or email on your Smart Wrestler account, so make sure you have created one and told them which. Once you are added, the event appears under Assigned Events. If it does not, ask the host to check which account they added.
Do I need to pay or have a plan to help?
No. Helping at an event is free. You only need an account.
Why can I not check in a wrestler?
Check-in and weigh-in wait until the entry fee has been paid. The screen says so when that is the reason. If the family says they have paid, ask the host to look at the payment before taking a second one.
Why did the event disappear?
Your access ends once the host marks the event completed or cancelled. Results stay available on the public event page.
Can I help at more than one event?
Yes. Every event you are added to appears under Assigned Events, each with your role for that event.
