Hosting uses the published predefined-weight fee schedule and your capacity, not expected turnout. Open/Madison and team events have different fees. Registration fees are estimated separately and shown even when covered by entrants. Default platform fee is $2.50; use $3 for entry fees above $50, or confirm the configured event fee.
This is a planning scenario, not a checkout quote. Free-entry hosting has no management fee. Refunds, taxes, sponsorships and concessions are excluded; checkout confirms actual registration and processing charges.

Quick answer
Plan an individual predefined-weight wrestling event budget by entering expected entries, published capacity, entry fee and operating costs. Revenue uses expected entries; the hosting fee uses published capacity and the site’s shared pricing schedule. Registration platform fees and online processing assumptions are shown separately. Choose whether entrants cover fees or model a host-covered scenario. The calculator estimates a surplus and break-even count, but larger capacities require a custom quote and open/Madison or team events use different hosting schedules.
Which costs belong in the event budget?
Enter the number of rented mats and the cost per mat, paid worker count and pay per worker, venue cost and other expenses. Other expenses can cover awards, supplies, insurance and officials if they are not already included elsewhere. Avoid counting the same official or rental twice. Expected entry revenue is entries multiplied by the advertised entry fee. Capacity is a separate value because Smart Wrestler prices predefined-weight hosting by the capacity offered, not simply the number of athletes who eventually appear.
How are hosting and registration fees separated?
The hosting estimate imports the predefined-weight fee schedule used by the site’s pricing content. A free-entry event has no hosting management fee under that schedule. Registration platform fees are shown per entry and in total; processing is calculated from the adjustable percentage and flat amount. The entrant-covered scenario preserves the organizer’s entry revenue and estimates the online amount required to cover added fees. The host-covered scenario instead deducts fee assumptions from revenue. This is a budget comparison, not a claim that the product offers an automatic fee-absorption setting.
How do I interpret surplus and break-even entries?
Break-even divides fixed operating and hosting costs by the remaining contribution from each entry, then rounds up to a whole entrant. If contribution is zero or negative, there is no positive entry margin and no attainable break-even count from entries alone. When the shared schedule says Custom quote, the calculator leaves surplus and break-even pending instead of pretending the hosting fee is zero. Refunds, taxes, concessions and sponsorship revenue are not modeled. The event checkout is the source of the final charge, including environment-specific registration settings.
Frequently asked questions
Is the hosting fee based on turnout or capacity?
For the predefined-weight individual event scenario shown here, it follows the published capacity. Keep capacity at least as large as expected entries. An event with another pricing basis needs its own quote.
Does this show the exact platform fee?
It estimates the published hosting schedule and your registration assumptions. Individual registration fees are configurable within the published range, and checkout confirms them. The form lets you enter the event’s per-entry fee and processing assumptions.
Can I model free entry or a loss-making event?
Yes. A zero entry fee produces no entry revenue and uses zero hosting management fee. Operating costs and registration assumptions remain visible. A negative surplus is displayed as a loss rather than hidden.
