Every helper gets their own login
By Smart Wrestler · Updated 2026-09-14
Three roles, scoped to one event, expiring on their own. The host's password stays with the host, and the parent scoring mat four can only score mat four.
Quick answer
Smart Wrestler gives tournament helpers their own accounts with one of three roles. Admin can do everything the host can, including settings, access, and deletion. Staff can run check in, weigh ins, brackets, mat assignment, and live scoring. Volunteer can run check in, weigh in stations, and awards. Staff and volunteers see their events under Assigned Events, and their access lapses automatically when the tournament is completed, so there is nothing to revoke afterwards.
What can each role do?
- Admin: everything, including tournament settings, staff access, billing, and deletion. Reserve it for co directors.
- Staff: check in, weigh ins, bracket generation and locking, mat assignment, match control, and live scoring. The table worker role.
- Volunteer: check in, weigh in stations, and awards. The role for parents helping at the door and the medal table.
How are helpers added?
Helpers create a free Smart Wrestler account. The host assigns them to the event with a role from the tournament's access page. They then see the event under Assigned Events with only the screens their role allows. Assign roles in the week before the event so the morning briefing is about scoring, not accounts.
What happens after the event?
When the host presses Complete Tournament, staff and volunteer access lapses automatically. If a result needs correcting later, reopening the tournament restores access for the correction and completing it again removes it. Nobody keeps a standing key to your events.
How many helpers does an event need?
Two staff per mat is comfortable (one scoring, one clock and calls), one to two volunteers per weigh in station, one or two at check in, one at awards, and one admin at the head table. A six mat event runs well with about fifteen logins. Because scoring is tap to score with undo and confirmations, a first time table worker can be briefed in a few minutes.
Frequently asked questions
Do helpers need a paid account?
No. Staff and volunteers use free accounts; the host assigns the role.
Can a coach be a table worker?
Yes. A coach account can be assigned a Staff role for an event and score matches like any staff member.
Can I limit a staff member to one mat?
Staff score from the match control screen for the mat they are working; assign mats at the briefing so each table opens its own queue.
What if a volunteer cannot check a wrestler in?
Almost always an unpaid entry; the screen says so. Direct the family to complete payment rather than overriding.
