## What should a tournament record register contain?

Inventory records by purpose and access need rather than applying one retention period to everything. Use the organization’s applicable requirements and reviewed policy for actual dates. Public results, restricted working rosters and sensitive documents are different categories, and a sponsor or volunteer request should not silently expand the purpose for which personal information was collected.

| Planning field | Prompt or example to adapt | Your entry |
| --- | --- | --- |
| Record class | Name the type, such as published results, working roster, payment reference or temporary export. | __________ |
| Purpose and minimum fields | Explain the legitimate task and which fields are actually necessary to perform it. | __________ |
| Access and location | Record the authorized role, approved storage location and whether a copy is public or restricted. | __________ |
| Review trigger | Specify the reviewed retention or disposal rule and any reason deletion must wait, with the responsible owner. | __________ |
| Sharing decision | Document recipient, purpose, authority and approved fields; keep a record of material disclosures and corrections. | __________ |

## Event record classification worksheet—not a legal retention schedule

| Record group | Operational question | Responsible review |
| --- | --- | --- |
| Published results | Which information is intentionally public? | Host and platform policy |
| Working roster | Who needs this view for an assigned task? | Authorized event administrator |
| Consent or sensitive document | What approved process controls access? | Responsible organization and adviser |
| Payment record | Who is authorized to reconcile or respond? | Payment administrator |
| Temporary export | Why is this copy needed and when is it reviewed? | Named record owner |

## Original fictional planning example

A fictional community partner asks the host for an attendee list after supporting an event. The request sounds helpful, but the organizer does not treat sponsorship or public results as blanket permission to distribute private registration fields. The responsible record owner asks what information is sought and for what purpose, then uses the organization’s applicable policy and appropriate review. The general volunteer team is not asked to export a master file as a courtesy.

The host separates intentionally published results from working rosters, consent material and payment information. If an approved public link satisfies the legitimate request, that route can be considered without creating another sensitive copy. Any other sharing decision must follow the responsible process; this article does not decide the legal answer for every organization. The decision and owner are recorded, while unnecessary personal details remain outside the general event communication channel. A convenient export function is not itself authority to disclose its contents.

During closeout, the organizer also checks temporary working copies on borrowed devices and paper lists used by staff. Retention and disposal follow the actual reviewed policy rather than an arbitrary period supplied by this worksheet. An unresolved participant correction remains with its authorized owner. This scenario demonstrates the purpose of record classification: different information serves different tasks and needs different decisions. It preserves the value of public competition history without assuming that every related account, family or financial detail becomes public too. The worksheet helps the host ask the right questions and identify authority, while leaving legal obligations and technical disposal requirements with qualified responsible sources.
