## What should an equipment checkout sheet track?

Count equipment by working station and verify that a spare can replace the intended item before calling it available. Copy this sheet for each mat, registration desk and shared operations area. The inventory should distinguish a missing object from a failed configuration, since another tablet or cable may still need the right access and setup.

| Planning field | Prompt or example to adapt | Your entry |
| --- | --- | --- |
| Station and item | Record station, item label, required quantity and the worker who receives it. | __________ |
| Compatibility check | Test the assigned charger, cable, connection and device together in the intended workflow. | __________ |
| Spare location | Record the replacement item, storage location, authorized issuer and any setup needed before use. | __________ |
| Fault and exchange | Log the symptom, item removed, replacement issued and result of the repeated workflow test. | __________ |
| Return and next use | Reconcile returned, damaged and missing items; assign repair or replacement before the next event. | __________ |

## Equipment inventory and replacement worksheet

| Item group | Record before opening | Return check |
| --- | --- | --- |
| Table devices | Assigned mat, charger, tested access and owner | Device and accessories accounted for |
| Signs and barriers | Approved location and responsible worker | Count and storage location |
| Replacement supplies | Contents, access point and authorized contact | Usage and remaining stock |
| Borrowed equipment | Supplier, condition and return agreement | Condition and handoff confirmed |

## Original fictional planning example

A fictional volunteer supplies a laptop for one table, while the host supplies a charger and a display adapter. The receiving worker checks the items against the approved inventory and records their intended location. During rehearsal, the full combination is tested through the authorized workflow. Counting the laptop alone would miss the accessories needed to make it useful. The owner and return arrangement are recorded before the equipment moves into the busy room.

Later, the technical lead replaces the device after a problem. The spare is issued to a named table, and the original is placed in the agreed holding location rather than carried away by an unidentified helper. The incoming shift learns which equipment is active and which item still needs review. A replacement charger is not borrowed from another mat without recording the move, because that would solve one immediate problem by creating another uncertain setup elsewhere.

At teardown, the worker compares the inventory with actual returns and confirms the borrowed equipment handoff. Missing accessories are investigated while the relevant people are still available. The post-event record separates a failed device, a damaged item and a consumable used normally. Those distinctions improve the next event’s spare plan without implying that every interruption needs a larger purchase. The case illustrates why an inventory is a responsibility record as well as a count. It connects receipt, tested use, controlled replacement and return so the organizer can explain where an item went and who accepted it.
