## What can an organizer copy into a first software RFP draft?

Replace the placeholders below with the buyer’s actual event and procurement process, then send the same approved brief to each provider. This is an editable request structure, not a contract. Ask respondents to label unsupported and unverified items explicitly so a missing answer does not become an assumed commitment during selection.

| Planning field | Prompt or example to adapt | Your entry |
| --- | --- | --- |
| Event brief | We operate {formats and event count} with {entry range, mats and roles}. Required dates and operating conditions are {details}. | __________ |
| Required response | For each attached requirement, state current support, limits, demonstration evidence and implementation responsibility. | __________ |
| Complete quote | Quote {currency and term}, list fixed and variable components, identify payer and state all material assumptions and expiry. | __________ |
| Delivery and support | Describe setup, training, authorized data transfer, event-day contact, coverage and escalation, including exclusions. | __________ |
| Selection and submission | Submit through {channel} by {date, time, zone}. We assess {published criteria} and require {demonstration and approval steps}. | __________ |

## Editable wrestling software RFP brief

| Section | Ask the provider | Evidence requested |
| --- | --- | --- |
| Event context | Which described workflows are supported now? | Current documentation and limitations |
| Demonstration | Complete the same approved scenarios | Observed results and conditions |
| Cost | Quote the complete required arrangement | Dated components and payer |
| Implementation | Identify setup, training and migration responsibilities | Named deliverables and dependencies |
| Support | Explain event-day assistance and escalation | Current terms, coverage and exclusions |

## Original fictional planning example

Imagine a fictional procurement group evaluating several products for the same tournament. Before demonstrations, it defines required tasks and agrees which ones are essential. Every provider receives the same event description and representative scenarios. One response offers an attractive price but leaves a required workflow unanswered. Another demonstrates the workflow but identifies a separate implementation cost. The group records both facts without treating an omitted answer as support or an omitted amount as zero.

Clarification questions are sent through the organization’s approved process, and material new event information is made available consistently. Reviewers distinguish current capabilities, documented limits and roadmap ideas. The people who will operate registration and mat functions participate in evaluating whether the proposed instructions are understandable. A preferred interface can remain a preference, but it is not rewritten as an essential requirement after one provider has already been assessed under a different standard.

The selection record explains the requirements met, evidence reviewed, complete cost assumptions and accepted limitations. Contractual terms receive the responsible review before commitment. The chosen product then enters a practical implementation and rehearsal plan, because procurement approval does not train volunteers or verify the venue connection automatically. This example turns the RFP from a long wish list into an accountable decision structure. Another authorized person can understand why the product was chosen and what the organization still needs to do. The editable brief supports consistency without claiming that a numeric total is an objective prediction of success or that the same winning proposal would suit every wrestling format and institution.
